Privacy Policy

Effective Date: Last Updated:

This Site is under construction.

This Policy covers how the Site works today. We will update it when we release features that collect more information, such as user accounts and public comments.

1. Who We Are and What This Policy Covers

This Privacy Policy (“this Policy”) explains how the Association collects, uses, shares, and deletes information about you when you use the Site. This Policy and our Terms & Conditions (“the Terms”) together make up our agreement with you. The words “Association,” “Cemetery,” “Site,” “Submission,” and “you” have the same meanings as in the Terms.

The Robinson Cemetery Association of Hannibal, Missouri is a nonprofit organization recognized as tax-exempt under section 501(c)(3) of the Internal Revenue Code. Our mission is the long-term care, preservation, and historic stewardship of the Cemetery. We welcome public involvement, volunteer service, and partnerships with local, state, and national preservation groups.

The Association operates the Site from the United States for people in the United States, and we handle information under United States law. If you use the Site from another country, your information is handled in the United States.

2. Information We Collect

Information you give us

  • Your name, email address, and any other contact details you send us
  • The message, photographs, documents, and other material in your Submission
  • Information about your connection to the Cemetery or to a person buried there, if you include it

Donation information

Zeffy collects the information you enter when you donate online. The Association does not collect or store your payment card details on the Site. We may receive your name, email address, and donation amount from Zeffy so that we can keep donation records and send receipts. For a check donation, we collect the information on the check and in any message you send with it.

Technical information

Our hosting provider records standard server logs when you visit the Site. These logs can include your IP address, browser type, device type, and the pages you request. We use this information to keep the Site secure and working. We do not use it for advertising.

Details sent with a contact form message

When you send a message through the Contact Us form, we add a few technical details to the email that reaches us: your IP address, the country it appears to be in, your browser, operating system, and device type, the page you were on, the website that sent you to ours (if any), a random session ID (see Section 8), and the time. We use these details to answer your message, to tell real messages from spam, and to fix problems with the form. They stay with your message, they are private, and we never publish them. We delete them along with the message (Section 6).

How visitors use the Site

To make the Site easier to use, we use Vercel Web Analytics to see how visitors use it. It records which pages are viewed, the website that sent you here (if any), your approximate location (such as your country), and your browser, operating system, and device type. It does not use cookies, it does not follow you to other websites, and it does not record what you type into our forms. We do not use it to find out who you are, and the figures are not tied to your name or email address. We look at them in summary, to find pages that are confusing or slow and to improve them. We do not use them for advertising. Some browsers and extensions block this tool, and the Site works the same if yours does.

3. How We Use Information

We use information to:

  • Reply to your messages and Submissions
  • Check that your email address can receive mail, so that we can reply to you. We look up only the part after the @ sign, and we decline addresses from temporary-email services
  • Keep and correct the Cemetery’s records and history
  • Publish public Submissions and public comments, as described in Section 4
  • Keep donation records and meet legal and tax requirements
  • Operate, secure, and improve the Site, including by reviewing summary statistics about how visitors use it
  • Carry out the Association’s nonprofit work

We do not use your information for advertising, and we do not sell it.

4. Private and Public Submissions

You decide whether we may share your Submission. These rules match the rules in Section 4 of the Terms:

  1. Private Submissions. If you tell us that a Submission is confidential, or that we must not publish it, we keep it private. Only authorized Association directors, officers, and volunteers may see it, and we use it only for the Association’s work. We do not publish it or share it with anyone else, except as the law requires.
  2. Public Submissions. If you tell us that we may publish or share a Submission, we may publish it on the Site or share it as you describe. We never publish your email address or phone number unless you tell us that we may.
  3. No instructions. If you do not tell us whether a Submission may be shared, we treat it as private.
  4. Public comments. When we release comments on grave pages, every comment is public. Do not put private or confidential information in a public comment.

5. Who We Share Information With

We do not sell your personal information. We share it only in these cases:

  1. With service providers that help us run the Site and the Association, such as our website hosting and visitor statistics provider (Vercel), our email sending and email forwarding services, and Zeffy. They handle the information under their own terms and privacy policies.
  2. When you tell us that we may share it, such as a Submission that you allow us to publish.
  3. When the law requires it, such as for a court order or a tax or regulatory filing.

6. Keeping and Deleting Information

  1. We keep information only as long as we need it for the purposes in this Policy, or as long as the law requires.
  2. You may ask us to delete a Submission at any time. Within 30 days after we receive your request, we delete the Submission and the technical details sent with it, and we remove it from the Site if we published it, unless the law requires us to keep it. Section 4 of the Terms explains how to ask.
  3. We keep donation records for as long as tax and nonprofit laws require.

7. Security

We use reasonable measures to protect your information. Only authorized Association directors, officers, and volunteers may see private Submissions. No method of storing or sending information is completely secure, so we cannot guarantee absolute security.

8. Cookies, Analytics, and Third-Party Content

  1. The Site does not set cookies. It does not use advertising trackers, and it does not use analytics tools that follow you across websites. It does use one cookie-free tool that counts page views and visits, described in Section 2.
  2. The Site’s photo viewer saves a small technical note in your browser’s local storage. The note lists which links are images and which are videos, so that the viewer can open them faster. It contains no personal information, and it stays in your browser. We do not receive it.
  3. When you arrive, the Site saves a random session ID in your browser’s session storage, along with the address of the website that sent you here, if there was one. Session storage is not a cookie. Your browser clears it when you close the tab, and it does not send it to us on its own. We receive the session ID and the referring address only if you send a message through the Contact Us form, where they are part of the details described in Section 2. We do not use them to follow you across pages or across other websites.
  4. Third-party content can set its own cookies or collect information. For example, if you play the Association’s video on YouTube, YouTube (Google) may collect information under its own privacy policy.
  5. Links to other websites are covered by Section 8 of the Terms.

9. Accessibility

We want everyone to be able to use the Site. We aim to make the Site work with keyboards and screen readers and to give images text descriptions. The Site is under construction, and some pages may not yet meet every accessibility standard. If you have trouble using any part of the Site, email info@robinsoncemetery.org and tell us the page and the problem. We will work to fix it or to give you the information in another way.

10. Your Requests

To ask about the information we hold about you, to correct it, or to delete it, email info@robinsoncemetery.org. To delete a Submission, follow the steps in Section 4 of the Terms. We may ask you to confirm who you are before we act on a request, so that we do not share or delete information for the wrong person. We review each request and respond.

11. Changes to This Policy

We may change this Policy at any time. When we do:

  1. We post the new version on this page.
  2. We change the Last Updated date at the top of this page.
  3. The change takes effect on the date we post it, unless the new version states a later date.

If you keep using the Site after a change takes effect, you accept the new Policy. Check this page regularly for changes.
